In an office move, every hour your people cannot work costs money. So the goal is not just for things to reach the new address, but for the team to sit down and get back to work as quickly as possible.
1. Choose the right moment
Friday afternoon and Saturday are the most common choice - that way the office is already working on Monday. If that is not possible, move the departments in stages, so the whole company does not stop at once.
2. Appoint one person in charge
One person from your team who knows what goes where and can make decisions on the spot saves more time than anything else.
3. Make a plan of the new office
Number the desks and rooms on the plan and put the same numbers on the boxes and furniture. That way, when unloading, nobody has to wonder where to leave things.
4. Everyone packs their own desk
- One box per person for personal items and the documents from their desk.
- The box is labelled with the person’s name and new desk number.
- Confidential documents are moved in closed, sealed boxes.
5. Equipment - with extra care
Back up important data before moving day. Put each computer’s cables in a separate bag taped to the device itself, and carry monitors upright and wrapped.
6. Check access at both addresses
Lift, goods entrance, building passes, parking for the truck - clarify them in advance with the building managers. These are the most common reasons for delays.
7. Disassembly and assembly
Desks, cabinets and shelving often have to be taken apart to fit through doors and lifts. Allow time for assembly and disassembly, not just for the carrying.
